Summary of AGM: Tuesday 9th June 2026 at 19:00 – 21:00, Christopher Burton Suite
Elected Chairperson and Secretary for the ensuring year: Paul Quy was elected as Chair and Debbie Adger was elected as Secretary
1. Chairman’s report
PQ advised over the past year we are seeing fewer children party bookings and instead receiving enquiries and bookings for larger events. MF’s hard work on successfully securing full funding for the new Playground upgrade was acknowledged.
A thank you to Willington Parish Council was noted by the Chair for funding new tennis nets and posts which are due for the MUGA in July 2026. Additional projects for 2026-27 include upgrade to the MUGA drainage, village hall redecoration and toilet refurbishments.
2. Treasurer’s report and presentation of Financial Statement
PG advised the financial statement had been examined and approved. Whilst the VHMC remains financially sound with a profit of approx. £5k this is down in comparison to last year’s profit of nearly £12k.
3. Annual report of Willingtots
SH confirmed WIllingtots remains really busy. They are now open 3 full days a week in addition to 2 mornings with no major issues to report.
4. Annual report of the Brownies
Report on behalf of JH highlighted the Brownies have recently held a treasure hunt and trash fashion night with an outdoor BBQ planned. The District has been made aware JH will be stepping down from the leader position from September 2026 after 15 years of active involvement, with a new volunteer in the pipeline to take over.
5. Annual Report of Village Market
SJ reported Village Market is held four times a year, attracting good attendance and supporting four charities. There are approximately twenty regular stall holders, with pony rides being popular and the café being well attended.
6. Election of members - The following were co-opted onto the Committee:

The following were adopted onto the Committee with HW confirming she is stepping down after serving 25 years on the Committee as a representative of the School. HW was thanked for all her help and support:

7. Renewal of Health & Safety Policy, Safeguarding Policies, Data Protection Policy and Equality & Diversity Policy
DA emailed on 26/05/26 revised copies of these policies with new standardised front covers to make the hall policies more uniformed. All policies will be printed off and placed in a black folder in the Committee Room for internal and external hirers to access.
8. Adoption of Fire Risk Assessment Policy and Legionella Policy
DA circulated draft Fire Risk Assessment on 26/05/26 for comments. Committee agreed to adopt and 2 print outs of the Fire Equipment Location Plan where placed on both notice boards within the hall.
DA advised the Legionella Risk Assessment (30/03/26) rated the inherent risk of the hall’s water systems as medium. It was agreed for JH to review the draft policy and provide comments/suggested amendments to DA.
9. Public Session
Due to there being the only member of the public present a general discussion was held on ways the village hall could be promoted/used for hire.
